QUICK START GUIDE



Modular Messaging Release 3.1 Client Add-in for IBM Lotus Notes®


Important: Instructions in this guide are applicable only if your message store is the Avaya Message Storage Server (MSS)



Installation

Before you begin, ensure that you –







  • Have uninstalled any existing version of the Avaya Modular Messaging Client for Microsoft Outlook. The Client Add-in for Lotus Notes will not run on the same computer where the Client Add-in for Microsoft Outlook is installed.

  • Close and Exit Lotus Notes.

  • Have Local Administrator rights on the computer

  • Obtain the MAS and MSS names (or IP addresses) from your administrator (see boxes on the right)

  • Are running one of the supported Operating Systems and e-mail clients

    • Operating Systems: Windows 2000 (SP4) or XP (SP2)

    • E-mail Clients: IBM Lotus Notes 6.5.5 and above or 7.0.2 and above.

Fill-in the appropriate information in the empty spaces below:

Messaging Application Server (MAS) name/ IP address:

     

     




Message Storage Server (MSS) name/ IP address:

     

     




Find client add-in installable (Setup.exe) at:

Install the Client Add-in software –







  1. Run the Setup.exe program.

  2. Complete the Installation Wizard.

Run Subscriber Options to initialize your account settings –







  1. From your desktop, click Start > Programs > Avaya Modular Messaging > Subscriber Options. The User Login dialog box displays.

  2. Enter your mailbox number, password and network name or IP address for your MAS. This information is recorded in Section 1.

  3. Click Ok. The Modular Messaging User Properties dialog displays.

  4. Select the Media Setup tab to configure your options for recording and playing back voice messages.

  5. Click Ok to save your settings and close Subscriber Options.

Create the Modular Messaging Database in Lotus Notes –







  1. Start Lotus Notes.

  2. Click File > Database > New… The New Database dialog displays.

  3. In the Specify New Database Name and Location section:

    1. Leave the Server field set to Local.

    2. In the Title field enter Avaya Modular Messaging or some other name to identify the database.

    3. Leave the File name field as shown, or enter another valid file name.

  4. In the Specify Template for New Database section:

    1. Leave the Server field set to Local.

    2. Select the Modular Messaging Desktop Client template in the Template list.

  5. Click Ok. Lotus Notes creates the database and displays the Preferences dialog box.

  6. Enter your mailbox number, password and network name or IP address for your MSS. This information is recorded in Section 1.

  7. Click Ok.

Note: One or more Lotus Notes Execution Control List (ECL) warnings may display when the database is first opened. These warnings indicate the software is attempting an operation that requires your approval. Click on “Start trusting the signer to execute this action” to allow the software operation to complete. An ECL warning may be displayed for each different operation attempted by the software, but after you have approved each operation (by clicking on the “Start trusting the signer to execute this action” option) you will not receive the same warning again for this database.

Lotus Notes displays the Inbox which shows all of your new and saved Modular Messaging messages.

Tips, Tricks and Recommendations –







  • Unread documents in the Inbox represent messages in your New folder, and read messages in the Inbox represent messages in your Saved folder on the MSS.

  • When addressing a message, after you type a name or mailbox number in the To field, press F9 to resolve the address instantly. If more than one address matches your entry a list of available addresses displays allowing you to choose the correct address.

  • You can access your Modular Messaging Preferences and your Subscriber Options from the Tools menu on the Action Bar.

  • When you open a voice message with more than one voice recording, the voice player loads all available messages. You can play all messages sequentially or you can skip from one message to the next.

  • Depending on your installation, voice recordings may also be available as attachments within the Body of the message. If the Body of the message contains yellow phone icons, you can manage your voice attachments like any other attachment within Notes by right clicking on the attachment and choosing Save, View, Open or Delete. If the Body of the message contains ‘gray’ phone icons, your administrator has restricted this feature and you must use the voice control player / recorder to access your voice messages.
